That shoebox of receipts? Let the scanner sort it.
Hi neighbor,
Every week I look out for one back-office chore and check which tools can honestly take it off your plate. You get what they cost, how long setup takes, what they replace, and whether they're worth your time. No AI headlines, no hype.
This week: expense receipts. The gas-station slip in the truck console, the supply-run receipt fading in your wallet, the emailed invoice buried under newsletters, and the shoebox you dread opening every April. Every one of those is a deduction you might lose and an hour you won't get back.
All four tools below do the same basic job: you snap a photo, forward an email, or (with one of them) mail in the paper, and the tool reads the vendor, date, and total so you don't have to type them. Where they differ is who checks the data, how they sort it, how many people can use them, and how much AI sits on top.
A word on how I review: I work only from each vendor's own pricing, feature, and help pages as of Nov 3, 2026, and I link every one. I haven't tested these tools hands-on. Anything I couldn't confirm is marked [?].
1. Zoho Expense
- Cost: Free for up to 3 users, with AI receipt scanning (Zoho calls it Autoscan) capped at 20 scans per user per month and 5 GB of receipt storage. Standard is $4/user/mo billed monthly ($3 billed yearly) with 200 scans per user per month. Premium is $6/user/mo ($5 yearly) with 1,000 scans. 14-day free trial, no card required, and no contract (pricing). The pricing page doesn't say whether paid plans have a minimum number of users [?].
- What it does: Snap a receipt in the app, forward e-receipts to your own receipt address, or upload them in bulk, and Zoho turns each one into an expense record. It reads receipts in 38+ languages and can pull them from Google Drive, Dropbox, OneDrive, and Box (receipt tracking). The free plan includes expense reports, GPS mileage, and accounting integrations. Standard adds itemized receipt scanning, corporate card feeds, receipt capture through WhatsApp and Slack, and Zoho's Zia AI, which drafts expense reports, helps with approvals, and flags possible fraud and alcohol charges (pricing).
- Setup time: Not published [?].
- Replaces: The receipt envelope, the expense spreadsheet, and retyping totals into your books.
- My take: The best $0 start on this list for a small crew. Three users and 20 scans each a month covers a lot of one-truck and two-chair businesses. Once you pass that, $4 a head is still cheap, and Standard is where the AI help actually starts.
- Pick if you… have 1 to 3 people buying things for the business and want to stop paying for that privilege.
2. Expensify
- Cost: A free Submit workspace lets one person scan and send expenses to an approver, but it skips approvals, payments, company cards, and accounting sync. The Collect plan is $5 per unique member per month, pay as you go, with no annual contract. Control is $18 per member per month on a 12-month subscription, or $36 per active member pay-per-use, and can drop as low as $9 or $18 if you run your spending on the Expensify Card. Taxes are extra (pricing help). Collect bills every member in the workspace, whether they used it that month or not. Free trial length: not confirmed on Expensify's own pages [?].
- What it does: SmartScan reads a receipt the moment you take the photo, matches it to the card charge, catches duplicates, and categorizes it based on your rules and past habits. If it can't read something, its Concierge AI assistant asks you follow-up questions. You can also forward e-receipts to [email protected] or text a photo to 47777 (US numbers only) (receipt scanning, help). Collect covers receipt scanning, reimbursing employees, simple approvals, and QuickBooks and Xero. Control adds multi-step approvals, ERP and HR integrations, and custom expense rules (plan comparison).
- Setup time: Not published [?].
- Replaces: Collecting crumpled receipts from employees and the reimbursement checks you write by hand.
- My take: The pick when other people spend money for you and need paying back. Text-a-photo is about as low-effort as receipts get. At $5 per person it's fair, but invite only the people who actually buy things, since everyone in the workspace counts. Most small shops won't need Control.
- Pick if you… have a handful of employees with receipts to turn in and you reimburse them through QuickBooks or Xero.
3. Shoeboxed
- Cost: Starter is $9/mo ($97/yr) with 50 digital scans a month, 20 paper scans a year, one mail-in envelope a year, and 3 users. Pro is $29/mo ($297/yr) with 250 digital scans and 50 paper scans a month, an envelope each quarter, Gmail receipt sync, QuickBooks Online and Xero integrations, and 5 users. Plus is $79/mo ($797/yr) with 1,000 digital scans, 150 paper scans, a monthly envelope, and 10 users. Paper Plus is $179/mo for heavy paper. No free plan: your card is charged at sign-up, with a 30-day money-back guarantee, except once you've asked them to mail you an envelope (pricing).
- What it does: The only one here you can mail your paper to. Stuff receipts in a postage-paid "Magic Envelope," and Shoeboxed scans them at its facility in Durham, North Carolina. Every receipt, mailed or photographed in the app, gets OCR plus a human who double-checks the vendor, total, date, and sales tax. Receipts are sorted into 15 tax categories, and every plan includes automatic mileage tracking (Shoeboxed).
- Setup time: Not published [?].
- Replaces: The shoebox, literally, and the weekend before tax day you'd spend sorting it.
- My take: The only option with a person checking every receipt, and the only one that takes paper by mail. That makes it the backlog-buster: if you have a year of receipts in a drawer, this is how you get them in. Skip Starter if you want them in your books, because QuickBooks and Xero sync start at Pro ($29).
- Pick if you… still get lots of paper receipts, have a backlog to clear, or just want a human to double-check the numbers.
4. Dext
- Cost: Pricing slides with your document volume. The entry setting shown is 250 documents a month and 5 users for $302.50 a year, about $25.21/mo, plus tax. Annual billing is "up to 20% cheaper" than paying monthly, but the monthly price isn't shown in the page's text [?]. The AI Assist add-on is $10.50/mo as a launch price through Jan 31, 2027. 14-day free trial, no card required (pricing).
- What it does: Capture receipts and invoices by phone, email, WhatsApp, or desktop upload, and Dext reads the supplier, date, tax, total, and line items at what it says is over 99% accuracy, including crumpled and handwritten ones. It learns how you categorize each supplier, flags duplicates, and sends the data to the accounting software you use (it lists 36+ platforms). Nothing goes to your books until you review it (capture). AI Assist learns your category and tax choices, suggests rules with its reasoning, and runs either in review mode or on full auto (AI Assist). A footnote on that page says AI Assist "can only be enabled by a practice admin," so ask Dext how that works if your accountant isn't on Dext [?].
- Setup time: Not published, though Dext says you can capture your first receipt "in a few minutes" (capture).
- Replaces: Typing supplier bills and receipts into QuickBooks or Xero line by line.
- My take: The most bookkeeper-grade tool of the four. It handles supplier invoices as well as receipts, which matters if you buy from the same vendors every week. It costs more than the others for a solo shop, so it earns its keep when you, or your bookkeeper, are posting dozens of bills a month. Worth asking your accountant first, since many already use it.
- Pick if you… have regular supplier invoices on top of receipts and want them to land in your books already coded.

If employees spend money and you pay them back, Expensify Collect at $5 a person is the cleanest fit. If you're sitting on a drawer of paper, mail it to Shoeboxed and let a human sort it. And if supplier invoices are the bigger pile, put Dext on your accountant's radar. Whichever you pick, make one habit stick: snap the receipt before you leave the parking lot.
Keep your doors open and your receipts where you can find them. I'll be keeping watch for you.
